Administrative Assistant, Office of the Secretary General (Paris)

The Office of the Secretary General is looking for an Administrative Assistant for a 12-month contract in Paris. This is an exciting role to join the fast-paced Office of the Secretary General and work within a fantastic and dedicated team. Internal candidates are welcome to apply for the position.

The Office of the Secretary General is looking for an Administrative Assistant. This is an exciting role to join the fast-paced Office of the Secretary General and work within a fantastic and dedicated team. Internal candidates are welcome to apply for the position.  

The role 

The role involves providing administrative support to:  

 1. the Secretary General, including: 

    •  Completing all travel arrangements including booking flights, hotels, and cars and arranging visas and other entry requirements 
    • Scheduling meetings 
    • Filing expenses  
    • Preparing emails, letters and other documents including editing and formatting. 
    • Electronic and hardcopy archiving 
    • Answering phone calls 
    • Preparing meeting rooms, welcoming guests and providing a high level of client service 
    • Monitoring emails and triaging incoming requests to the ICC Secretary General – including event invitations and meeting requests – closely coordinating with the Executive Assistant. 

2. the Office of the Secretary General team including: 

    • Booking travel 
    • Scheduling meetings 
    • Other general administrative tasks

Requirements 

The candidate will:  

  • be well organised, efficient, and able to work autonomously with initiative  
  • have excellent computer skills (mainly Word, Outlook, Teams and PowerPoint)  
  • be able to work in a multicultural team  
  • be able to juggle working on several tasks simultaneously  
  • have some administrative experience with strong attention to detail 
  • be proficient in English and French (oral and written)

Contract type and duration:  CDD (12 months) 

Remuneration: Competitive salary package
