The role
We are seeking a highly organised, detail-oriented and proactive Executive Assistant to support ICC’s two Deputy Secretaries General (DSGs) and Chief Operating Officer (COO).
Reporting to the Head of SGO Operations and Governance and partnering with a team of Executive Assistants, you will be a key asset within this dynamic team. This role will suit someone who enjoys working in a fast-paced and collaborative environment.
Your responsibilities will include:
- Schedule and diary management: Proactively manage the calendars of the DSGs and COO, ensuring optimal scheduling efficiency. Anticipate scheduling conflicts, make necessary adjustments and communicate changes effectively. Prioritise and balance competing demands while maintaining flexibility in a fast-paced environment.
- Travel arrangements: Coordinate and book flights, accommodation, ground transportation, visa applications and other travel logistics.
- Expense management: Process and track expenses, ensuring timely reimbursement and accurate record-keeping.
- Meeting preparation: Work closely with the respective departments and other teams to gather relevant information, ensuring that DSGs and COO are well-briefed and have the necessary documents, briefing notes and key discussion points ahead of the meeting.
- Guest reception: Welcome guests and ensure meeting rooms are properly prepared for meetings.
- Administrative support: Prepare, format and proofread documents, reports and presentations. Manage the signing of letters, contracts and other official documents, ensuring accuracy and compliance with internal procedures.
- Email management: Manage email on behalf of the DSGs and the COO, ensuring clear and professional communication.

Requirements
Do not hesitate to apply if you:
- Have three to five years of experience in an administrative, legal assistant or operational role, supporting senior executives.
- Are confident managing competing priorities and keeping others informed of progress.
- Have srong organisational and time-management skills, with the ability to prioritise tasks effectively.
- Posess excellent written and verbal communication skills.
- Are proficient in Microsoft Office Suite and other relevant administrative tools.
- Are able to handle sensitive and confidential information with the utmost discretion.
- Are fluent in English (with a working knowledge of French).
