The role

We are seeking a highly organised, detail-oriented and proactive Executive Assistant to support ICC’s two Deputy Secretaries General (DSGs) and Chief Operating Officer (COO). This role requires excellent administrative skills, the ability to multitask effectively, and a high level of professionalism in a dynamic, fast-paced environment.

 

Key Responsibilities:

  • Schedules and diary management: Proactively manage the calendars of the DSGs and COO, ensuring optimal scheduling efficiency. Anticipate scheduling conflicts, make necessary adjustments and communicate changes effectively. Prioritise and balance competing demands while maintaining flexibility in a fast-paced environment.
  • Travel arrangements: Coordinate and book flights, accommodation, ground transportation, visa applications and other travel logistics.
  • Expense management: Process and track expenses, ensuring timely reimbursement and accurate record-keeping.
  • Meeting preparation: Work closely with the respective departments and other teams to gather relevant information, ensuring that DSGs and COO are well-briefed and have the necessary documents, briefing notes and key discussion points ahead of the meeting.
  • Guest reception: Welcome guests and ensure meeting rooms are properly prepared for meetings.
  • Administrative support: Prepare, format and proofread documents, reports and presentations. Manage the signing of letters, contracts and other official documents, ensuring accuracy and compliance with internal procedures.

Requirements

  • Proven experience as an Executive Assistant or  similar administrative role.
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant administrative tools.
  • Ability to handle sensitive and confidential information with utmost discretion.
  • Fluent in English and advanced French highly desirable.

Terms and conditions

Location: The position is based in Paris, France
