The role

We are seeking an Administrative Assistant to provide proactive administrative and coordination support to our Global Policy teams on a 12-month contract (CDD). In this role you will help to ensure the smooth delivery of ICC's policy priorities, whilst supporting member engagement activities and international advocacy initiatives. You will play a key role in supporting meetings, events, stakeholder communications and day-to-day team operations
 
Your responsibilities will include: 


Administrative and team support 

  • Provide high-quality administrative support to the Global Policy department. 
  • Manage calendars, coordinate meetings and maintain team schedules. 
  • Support travel arrangements, expense processing and other administrative requirements. 
  • Monitor action items and support timely follow-up on commitments. 

Policy and committee coordination 

  • Support the organisation of policy commissions, working groups and member meetings. 
  • Prepare agendas, meeting materials and briefing documents. 
  • Maintain membership lists, contact databases and distribution lists. 
  • Support the production and circulation of meeting records and action points. 
     

Stakeholder engagement 

  • Serve as a point of contact for ICC members, national committees and external stakeholders. 
  • Support communications related to policy activities, events and consultations. 
  • Help coordinate engagement with experts, speakers and contributors. 

Content and information management

  • Format presentations, reports, policy documents and correspondence. 
  • Maintain filing systems and shared workspaces to ensure information is accessible and up to date. 
  • Assist with the collection and organisation of policy inputs and consultation responses. 


Event and operational support 

  • Support the planning and delivery of virtual and in-person meetings, conferences and policy events. 
  • Coordinate logistics, invitations and participant communications. 
  • Contribute to the effective day-to-day operation of the Global Policy department.
  • Identify opportunities to improve ways of working, tools and templates.

Requirements

We would love to hear from you if you: 

  • Are a recent graduate with a degree from a business school or equivalent (Masters degree a plus); 
  • Have previous experience in an administrative, coordination or support role; 
  • Are highly organised and able to manage multiple priorities simultaneously; 
  • Possess excellent written and verbal communication skills in English; 
  • Have strong attention to detail and a service-oriented mindset; 
  • Are comfortable working with senior stakeholders in an international environment; 
  • Are proficient in Microsoft Office applications; 
  • Are proactive, adaptable and keen to contribute to a mission-driven organisation.
