Secretary General’s Office: Executive Assistant

We are looking for a motivated Executive Assistant with an interest in corporate governance to join the Office of the Secretary General.

Main responsibilities include: 

We are looking for a motivated Executive Assistant with an interest in corporate governance to join the Office of the Secretary General.

Reporting to the Chief of Staff, the Executive Assistant will be a key contributor to a fast-paced team, providing high-quality operational and administrative support.

The successful candidate will be responsible for preparing meetings for ICC’s governing bodies, including the World Council, Executive Board and Board-level committees. The position will also support communications and special projects coordinated through the Office of the Secretary General.

Other responsibilities include, but are not limited to:

  • Organise ICC governing body meetings, including logistics, Executive Board/committee materials, meeting agendas and notifications, in coordination with ICC’s General Counsel
  • Serve as a central point of contact for national committees, chambers, members and the Executive Board regarding key meetings
  • Prepare first drafts of meeting minutes and resolutions for follow-up
  • Provide support for the governance and operations of the Merchants of Peace Foundation
  • Ensure information related to the Secretary General is updated for the intranet and extranet
  • Draft and proofread documents, correspondence and other communications
  • Share responsibility for administrative support in close coordination with the team’s other Executive Assistant
  • Travel internationally to support governing body meetings on-site (up to three times per year)
  • Support communications and special projects coordinated by the Secretary General

Education, experience and skills:

  • 2-5 years in a legal support, administrative or operational role, working closely with senior executives
  • Demonstrates ownership by taking initiative and following through on projects and tasks under the direction of the Chief of Staff
  • Uses best judgment and common sense to work efficiently and problem solve
  • Higher-level university education
  • Near-native English with solid writing skills; excellent level in French is a plus
  • Some legal education or training would be advantageous
  • Full proficiency in MS Office Suite (especially Word and PowerPoint)
  • Service- and results-oriented team player with a positive attitude
  • Meticulous and consistent attention to detail
  • Strong organizational skills and priority driven
  • Ability to manage a fast-paced working environment, with diverse tasks and responsibilities
  • Intellectually curious and committed to continuous learning
  • Discrete in dealing with confidential matters and materials

Terms and conditions: 

Authorization to work in France is required (e.g., work permit)
