Office Coordinator – ICC UN – New York Office

ICC UN is seeking an Office Coordinator, a detail oriented individual to assist with administration and data management.

ICC UN is seeking an Office Coordinator, a detail oriented individual to assist with administration and data management. 

The coordinator will support ICC UN New York Office with business-critical functions, notably: drafting and filing documents, budgeting and vendor repayment.  

Key tasks will include: 

  • Communicating with service providers and clients, arranging for invoices to be distributed or paid and tracking budgets for individual events and the office as a whole 
  • Drafting RFPs and procuring quotes from prospective vendors 
  • Supporting preparations for in-person Executive visits to the ICC UN New York Office and special projects related to the work of the ICC UN New York Office. 
  • Leading conference registration processes  
  • Coordinating with international departments to ensure accurate and timely flow of information. 
  • Maintain insurance and travel policies for the organization.  
  • Liaise with accountants on year-end financial closings as well as annual audits 
  • Analyze and organize office procedures such as bookkeeping, filing systems, requisition of supplies, and other administrative services. 
  • Assist with human resource coordination, including completing new hire paperwork, maintaining employee master information, administering employee benefits, etc.  
  • Review clerical and personnel records to ensure completeness, accuracy, and timeliness 
  • Assisting with ad hoc project management and operational tasks, such as receiving and sorting mail 

The ideal candidate will have: 

  • 2+ years managing and balancing accounts in excess of $2 million 
  • Strong computer, administrative and data entry skills with exceptional attention to detail 
  • A strong work-ethic and ability to work with minimum supervision 
  • Ability to maintain strict confidentiality when working with sensitive information 
  • A solid working knowledge of the functionalities of Microsoft Excel and Microsoft Dynamics

Contract type and duration: Permanent role

Remuneration: competitive, contingent on skills and experience. Excellent benefits package, including employer paid medical, dental and vision insurance and 401k with 6% employer match.
