Events and Administrative Assistant

The Events and Administrative Assistant will play a key role in the day-to-day functioning of ICC’s Observer Mission to the UN in New York, providing operational and event support, managing finances, and performing other related tasks.

The International Chamber of Commerce is recruiting an events and administrative assistant to join its Permanent Observer Mission to the United Nations for immediate hire.

The ICC Missions to the United Nations act as an important interface between the United Nations and the business community on issues ranging from sustainable development to global trade policy. The Missions run several high-profile events through the year – including the flagship annual “SDG Business Forum” at the United Nations. ICC’s UN engagement program is a global initiative to give private sector stakeholders a platform to engage in the implementation of the 2030 Agenda.

The Events and Administrative Assistant will play a key role in the day-to-day functioning of ICC’s Observer Mission to the UN in New York, providing operational and event support, managing finances, and performing other related tasks.

The new hire will be joining a small, high-performing team based in Midtown, New York. While there is scope for increased responsibility for the right candidate, primary duties of the assistant are as follows:

  • Planning small, medium, and large scale events with experienced teams of partners or with support from the internal team
  • Drafting and sending correspondence to external stakeholders including, but not limited to: ICC National Committees and members, UN Offices, and prospective partners
  • Creating outgoing invoices and submitting incoming invoices for payment through established channels
  • Serving as the main point of contact for the UN Protocol and Liaison Service and other UN Missions
  • Registering ICC delegations for UN conferences and meetings
  • Prioritizing competing requests (internal and external) and managing the schedule of the Permanent Observer
  • Performing related tasks as and when needed

While there are a variety of skills needed to perform this role, the successful applicant will likely have:

  • 1+ years of experience in event coordination and development or project management
  • Written and verbal communication skills in English, ability to communicate in another official UN language (French, Spanish, Chinese, Russian, or Arabic) would be advantageous
  • Proficiency in Microsoft Office applications (Word, Power Point, Excel); familiarity with Microsoft Dynamics and Inside View preferred
  • Strong work ethic and ability to understand unfamiliar concepts quickly
  • Self-motivation, creativity, and comfort working both in team settings and independently
  • Experience in partner development and/or customer service would be a plus
